Private AI for CA firms: reading GST invoices without uploading them
CA firms want AI's help with invoices and notices, but client documents shouldn't leave the office. Here's how an assistant running on your own computer changes that.

Every CA firm we speak to has the same two problems.
The first is volume. Purchase invoices arrive as PDFs, scans and WhatsApp photos, and someone has to type each one into Tally: party, GSTIN, invoice number, dates, taxable value, tax. Then GST and tax notices arrive, each needing to be read, understood and answered before a deadline.
The second is trust. AI tools could clearly help with both, but they work by uploading documents to someone else's servers, and these aren't the firm's documents to upload.
We built Private AI Desktop India to remove that trade-off. It's an AI assistant that runs entirely on the firm's own computer.
Why "just upload it" doesn't work for CAs
A CA's duty of confidentiality is old and well understood. Under the Chartered Accountants Act and ICAI's Code of Ethics, disclosing information acquired in the course of a professional engagement without the client's consent is professional misconduct.
The newer layer is the Digital Personal Data Protection Act, 2023, whose Rules are now being phased in. Invoices, notices and client records routinely contain personal data: names, addresses, phone numbers, PAN and bank details. When a firm sends that data to an outside service, it has to be able to answer for where it went, why, and who else can see it.
None of this makes AI off-limits. It means the safest place for AI to work is where the documents already are: inside the office, on the firm's own computer.
What it does
Reads GST invoices. Drop in PDFs, scans or phone photos. The assistant reads the supplier, GSTIN, invoice number, dates, taxable value, GST and totals, on your computer.
Checks every GSTIN. The GSTIN's check character is verified. If the value read is wrong but a correctly formed GSTIN is printed on the invoice, the assistant offers that instead. One click and it's fixed.
Shows what to trust. Every value is marked either found in the document or check this. Flagged values sit beside the original invoice for review, and nothing is exported until you approve it.
Prepares purchase vouchers for Tally. Approved invoices are exported as a file for TallyPrime's Excel import, using your firm's own party, purchase and tax ledgers. Nothing is guessed: you choose the ledgers once per supplier, and the assistant remembers them.
Explains notices. Select a GST or tax notice and ask for an explanation: who issued it, which section it cites, what is being asked, the amounts and the deadline. It will then help you draft a reply.
Works in English and Hindi. It reads scanned documents in both, and answers in the language you write in.
What it doesn't do (yet)
We'd rather be clear:
- It doesn't post into Tally directly. It prepares an import file; you import it. That keeps a person in control of every entry.
- It doesn't file anything. No GST portal, MCA or income-tax portal logins. Those need your DSC and your judgement.
- It isn't instant on every computer. On a machine without a graphics card, reading a scanned invoice can take a few minutes. The app tells you when it's still working.
Verifiable, not just promised
Privacy claims are easy to make, so we made ours checkable. The app counts its own network requests. The internet is used to download the assistant once, check the licence and check for updates. Your documents, chats and prompts stay on your computer.
Accuracy is measured the same way: on your own reviewed invoices, in a report that contains counts only, never names or amounts.
